This Privacy Policy outlines how 1000Meetings ("we", "our", or "us") collects, uses, stores, shares, and protects personal information obtained through our services, websites, and interactions with clients. This policy applies to all users of our services globally.

1. SCOPE AND APPLICABILITY

This policy applies to personal information collected by 1000Meetings and its affiliated entities globally, including but not limited to users located in China, Singapore, Malaysia, Indonesia, and the European Union.

1000Meetings operates through two legal entities: activities conducted in mainland China are managed by Yiju Business Consulting (Shanghai) Co., Ltd., while activities conducted outside mainland China are managed by Ammigos Pte. Ltd., headquartered in Singapore. We comply with applicable data protection laws in each market where we operate.

2. INFORMATION WE COLLECT

We may collect the following categories of personal information:

  • Name, job title, and company information
  • Email address and phone number
  • Business meeting preferences or event requirements
  • Communication content (e.g., RFPs, emails)
  • Website analytics and usage data (if applicable)

3. PURPOSE AND COLLECTION OF USE

We use your personal information for:

  • Managing client relationships (CRM)
  • Responding to inquiries and requests
  • Organizing and promoting business events
  • Internal analytics and operational planning
  • Compliance with legal obligations

4. DATA RETENTION

Personal information collected is retained for a period of five (5) years from the date of the last meaningful interaction. This period resets upon each new interaction. After 5 years of inactivity, personal information will be securely deleted or anonymized, unless retention is required by law.

5. DATA SECURITY

We implement technical and organizational measures to protect personal information against unauthorized access, disclosure, or loss. These include encrypted transmission, access controls, and secure data hosting.

6. SHARING OF INFORMATION

We do not sell personal information. We may share data with:

  • Our group companies for internal administrative and CRM purposes
  • Service providers under contractual confidentiality obligations
  • Legal authorities where required by law

7. CROSS-BORDER DATA TRANSFERS

Certain personal information may be transferred to and stored in data centers operated by our company outside the user's country of origin. Appropriate safeguards, such as encrypted transmission and access control, are implemented to ensure secure and compliant cross-border data processing. Cross-border transfers are carried out only with explicit user consent and in accordance with applicable data protection laws.

8. COOKIES AND ANALYTICS

We use cookies and similar tracking technologies to enhance your website experience and analyze site traffic. In particular, we use Google Analytics, a service provided by Google LLC, to collect anonymized information such as pages visited, time spent, and browser type. This data helps us understand how users interact with our site and improve our services.

Google may process this information on its servers located outside your country, and you may opt out at any time using the Google Analytics Opt-out Add-on.

8. YOUR RIGHTS

Depending on your jurisdiction, you may have the right to:

9. REGIONAL ADDENDUM

A. Chinese Individuals (PIPL)

If you are a Chinese individual, regardless of your location, the processing and cross-border transfer of your personal information is governed by the Personal Information Protection Law of the People's Republic of China (PIPL).

As part of our CRM and business operations, your personal information (e.g. name, company, email, and phone number) may be transferred to and stored in data centers located in Hong Kong SAR, which are internally operated by our company’s global team. This transfer is limited to authorized employees of our affiliated entity, Ammigos Pte. Ltd.

In accordance with the Administrative Measures for the Standard Contract for Cross-Border Transfers of Personal Information issued by the Cyberspace Administration of China (CAC), we have entered into the Standard Contract to support this transfer. We implement safeguards such as encrypted transmission, access control, and audit logging to ensure secure and compliant cross-border data processing.

Prior to any such transfer, we provide clear notice and obtain your explicit and separate consent in line with Article 39 of the PIPL.

You have the right to:

  • Access the personal information we hold about you;
  • Request correction or deletion of your personal information;
  • Withdraw your consent to processing (where permitted by law);
  • Request clarification about how your personal data is handled.

Our CRM system is hosted outside Mainland China and is used exclusively for customer relationship management. We retain your personal information for up to five (5) years from your last meaningful interaction with us. If further engagement occurs, the retention period is renewed. If not, the data will be securely deleted or anonymized, unless otherwise required by law.

B. Singapore (PDPA)

We comply with the Personal Data Protection Act of Singapore (PDPA). Consent is obtained before collection, and data is used only for the purposes notified. You may request access and correction of your personal information through our Singapore team.

C. Malaysia (PDPA 2010)

We collect and use personal data with implied or express consent for business purposes. You have the right to be informed about how your data is processed and may access, correct, or withdraw your consent at any time. Data will not be retained longer than necessary.

D. Indonesia (PDP Law 2022)

We process personal data lawfully and with user consent. In the event of a data breach, we will notify affected parties within 72 hours. Personal data is stored with appropriate safeguards. A Data Protection Officer (DPO) will be appointed when processing is large-scale or involves sensitive data.

E. EU/EEA (GDPR)

For users located in the EU/EEA, we process personal data on lawful bases such as contractual necessity, consent, or legitimate interest, in accordance with the General Data Protection Regulation (GDPR). You have rights to access, rectification, erasure, restriction, portability, and objection. Data transfers outside the EU are carried out using appropriate safeguards.
